How to Transcribe Your Microsoft Teams Recordings: Focus Groups, IDIs, and Team Meetings

You just finished recording on Microsoft Teams. Maybe it was a ninety-minute focus group with eight participants and a moderator. Maybe it was a one-on-one research interview with a key stakeholder. Maybe it was a client call you need to document accurately. The recording is sitting in SharePoint or OneDrive waiting to become something usable. If your plan is to rely on Teams' built-in transcription, here is exactly what you are getting and where it runs out.

A recorded Teams-style call with a spotlight speaker, a filmstrip of participants, and a "REC" label, flowing through an audio waveform into a timestamped transcript with color-coded speakers — illustrating Teams recordings turned into text.

Here’s what you need to know

Teams offers built-in transcription on Microsoft 365 Business Basic and higher, but it requires IT admin setup, does not work on Teams Essentials or Free plans, and has real limitations on multi-speaker sessions, technical vocabulary, and analysis. For research-grade accuracy, Qualtranscribe Instant Draft delivers AI transcription in minutes with Smart Insights across 99+ languages. For verbatim accuracy on IRB-governed studies and sensitive participant data, human transcription is the right call.

Best for researchers, compliance teams, and operations leaders evaluating transcription vendors.

How Microsoft Teams Transcription Actually Works

Teams offers two distinct transcription features that serve different purposes, and the plan requirements are more nuanced than most guides suggest.

Live transcription during the meeting. Available on Microsoft 365 Business Basic and higher. Not available on Teams Essentials or Teams Free plans. When enabled by your IT admin and turned on during the meeting, transcription appears in a side panel in real time with speaker names and timestamps. All participants see a notification that transcription has started. The transcript is saved alongside the recording in OneDrive or SharePoint after the meeting ends.

Translated transcription. Requires Teams Premium as an add-on license. Lets participants see the transcript translated into their preferred language in real time. Only the original language transcript is stored after the meeting. Past translated transcripts are not saved.

Automatic AI summaries with decisions and action items. Requires Microsoft 365 Copilot as a separate add-on license on top of your existing Microsoft 365 plan. Copilot is not required for standard transcription. If you need the raw transcript only, Business Basic or higher is sufficient.

Note on April 2026 changes. As of April 1, 2026, some features previously exclusive to Teams Premium moved to Teams Enterprise. If you are on an Enterprise plan, check your current admin settings as some capabilities that previously required a Premium add-on may now be included.

What you need for Teams transcription to work:

  • Microsoft 365 Business Basic or higher (not Teams Essentials, not Teams Free)

  • Transcription enabled in your organization's meeting policies by your IT admin

  • Both the meeting organizer and the person starting transcription must have the setting turned on

  • The spoken language set correctly before the meeting starts

Languages supported: Approximately 50 languages. Accuracy varies by language. Translated transcription requires Teams Premium.

Where Teams Transcription Falls Short for Research

Teams transcription was designed for business meeting productivity. For research use, the limitations are significant.

Multi-speaker accuracy. Teams speaker identification works reasonably on two to three speakers in clean conditions. On focus groups with six to eight participants, attribution accuracy degrades. Cross-talk, overlapping speech, and participants with similar voices all reduce the reliability of who-said-what labeling.

Language limitations. While Teams supports approximately 50 languages, accuracy varies significantly outside English. Translated transcription is only available on Teams Premium. For multilingual market research or international focus groups, the built-in option is limited without the Premium add-on.

Technical vocabulary. Teams' language model handles standard business English. Medical terminology, pharmaceutical brand names, academic jargon, and specialist vocabulary are frequently misheard or approximated.

No analysis layer. Teams delivers a raw transcript. AI summaries with decisions and action items require Microsoft 365 Copilot, a separate paid add-on. There is no automated theme extraction, key quote surfacing, or sentiment analysis built in without Copilot.

Admin dependency. Transcription must be enabled by your IT admin before you can use it. If your organization has not turned it on, or has restricted it for certain users, you cannot start transcription regardless of your plan level.

Compliance for research. Teams operates within Microsoft's broader enterprise compliance framework. For IRB-governed research, participant de-identification, HIPAA with a Business Associate Agreement specifically for research data, or GDPR-specific data processing agreements for EU participant data, Teams' built-in transcription does not provide documented research compliance workflows.

No human transcription fallback. When audio quality is poor, accents are heavy, or cross-talk makes AI output unreliable, Teams has no alternative. You use the AI transcript or transcribe manually.

Option 1 — Teams Built-In Transcription (When It Makes Sense)

Teams transcription is adequate for:

  • English-language internal team meetings on Microsoft 365 Business Basic or higher where your IT admin has enabled transcription

  • Quick reference transcripts where exact wording and speaker attribution are not critical

  • Accessibility during live calls where the real-time transcript helps participants follow along

  • Organizations already on Teams Enterprise where some previously Premium features are now included

If your Teams recording is a straightforward internal meeting, your plan supports it, and your admin has enabled it, the built-in transcription saves you an extra step. Download the recording from OneDrive or SharePoint, use the VTT file, and move on.

For anything involving research participants, client deliverables, sensitive data, multi-speaker complexity, or analysis beyond a raw text file, the next two options are more appropriate.

Option 2 — Qualtranscribe Instant Draft (Fast, Accurate, and Research-Ready)

Instant Draft is the right tool when you need significantly better accuracy than Teams' built-in transcription, faster turnaround than human transcription, and analysis tools built into the same workflow, without needing an IT admin to configure anything.

Download your Teams recording as an MP4 from OneDrive or SharePoint, upload it to Instant Draft, and receive a transcript in minutes. Speaker identification runs automatically. Timestamps are included. The transcript opens in an interactive editor where you can correct and annotate, clicking any word to jump to that moment in the recording.

Smart Insights analyzes the content automatically once transcription finishes. It surfaces recurring themes across the session, extracts key participant quotes with speaker labels and timestamps, identifies sentiment shifts, and generates a research-ready summary. AI Chat lets you interrogate the transcript directly and pull exact quotes without reading the whole document. No Copilot license required. No admin configuration needed.

For market research teams running rolling focus groups on Teams, Smart Insights across multiple sessions lets you compare themes and patterns across the dataset rather than reading every transcript individually.

Pricing:

  • Free: 75 minutes per month, 5 Smart Insight runs, 99+ languages, no credit card required

  • Pro: $18/month, 600 minutes, 150 Smart Insight runs, HIPAA and GDPR compliant, NVivo export

  • Pro+: $35/month, 1,200 minutes, unlimited Smart Insight runs, HIPAA and GDPR compliant, NVivo export

Best for: Consumer research IDIs, online panels, market research focus groups on Teams, first-pass analysis on large qualitative datasets, any session where you need accuracy and analysis faster than human transcription delivers.

Option 3 — Qualtranscribe Human Transcription (When Accuracy Is Non-Negotiable)

Human transcription is the right call when the stakes are high enough that the difference between AI accuracy and human accuracy matters.

Use human transcription when:

  • Your study is IRB-governed and the transcript is part of your formal research record

  • The audio has heavy cross-talk, strong regional accents, or difficult recording conditions

  • You need participant de-identification built into the transcript with a de-identification log

  • Your client or ethics board will scrutinize specific participant quotes

  • The recording involves protected health information

  • You need NVivo, ATLAS.ti, or MAXQDA-ready formatting as standard

Every human transcript is handled by a specialist transcriptionist matched to your recording's language, dialect, and subject matter. Every project is covered by a signed NDA. Participant de-identification is available on request. Transcripts arrive formatted for qualitative analysis software without manual restructuring.

HIPAA, GDPR, and PIPEDA compliant as standard. Your recordings are never used to train AI models.

Pricing: From $1.20/min for English. Rush delivery available at $1.60/min. Full pricing by language.

Best for: Dissertation interviews, clinical research, healthcare market research, pharmaceutical focus groups, complex multi-speaker sessions with technical vocabulary, any project where the transcript will be quoted in a client report or submitted to an IRB or ethics board.

How to Transcribe a Teams Recording Step by Step

Step 1: Download your Teams recording

For private meetings recorded to OneDrive:

  1. Go to onedrive.com and sign in with your work account

  2. Open the Recordings folder in your OneDrive root directory

  3. Download the MP4 file

For channel meetings recorded to SharePoint:

  1. Go to your team channel in Teams

  2. Click the Files tab

  3. Open the Recordings folder

  4. Download the MP4 file

Step 2: Choose your transcription method

Three questions to narrow it down:

Is this a research recording that will be formally analyzed, quoted, or submitted to an IRB or client? Human transcription.

Is this a focus group or multilingual session where speaker accuracy matters but speed is also a factor? Instant Draft, with human transcription for sessions where audio quality makes AI output unreliable.

Is this an internal team meeting where speed matters more than verbatim accuracy, and your organization's Teams transcription is already enabled? Teams built-in transcription or Instant Draft.

Step 3: Upload and receive

For Instant Draft: Go to https://app.qualtranscribe.com/signup, create an account, upload your MP4, and receive your transcript with Smart Insights in minutes.

For human transcription: Go to https://app.qualtranscribe.com/signup, submit your file with any specific formatting requirements, and receive your transcript within 24 to 48 hours standard.

Step 4: Review, export, and use

Instant Draft opens in the interactive editor. Correct any errors, use AI Chat to pull specific content, and export to DOCX, SRT, Markdown, or NVivo-ready formats.

Human transcripts are delivered in your requested format, ready for import into NVivo, ATLAS.ti, or MAXQDA without manual restructuring.

Specific Use Cases

Focus groups on Teams

Focus groups are the hardest recording type for any AI transcription tool to handle cleanly. Multiple speakers, overlapping dialogue, and sessions that routinely run sixty to ninety minutes. For consumer research and market research focus groups where speed matters, Instant Draft handles the session and Smart Insights surfaces the themes for your debrief. For healthcare or pharmaceutical focus groups where the transcript will be reviewed by a compliance team, human transcription delivers the verbatim accuracy required. See focus group transcription for more detail.

In-depth interviews on Teams

IDIs are more forgiving for AI transcription because the speaker count is low. Instant Draft handles most IDIs well, particularly for clean online sessions. For research interviews under an IRB protocol or involving sensitive participant disclosures, human transcription with participant de-identification provides the compliance documentation you need.

Market research panels on Teams

Online panel sessions recorded via Teams typically have consistent audio quality. Instant Draft is the efficient choice. Smart Insights across multiple panel sessions lets you compare themes and patterns without reading every transcript individually.

Internal team meetings

If your organization has Teams transcription enabled and you are on Business Basic or higher, the built-in tool is adequate for straightforward internal meetings. If you want Smart Insights to surface key decisions and themes automatically without a Copilot license, Instant Draft adds that layer. For confidential strategic discussions or client calls requiring HIPAA compliance and a zero AI training guarantee, Instant Draft covers both.

Frequently Asked Questions

Is Microsoft Teams transcription free?
No. Standard transcription requires Microsoft 365 Business Basic or higher. It is not available on Teams Essentials or Teams Free plans. Translated transcription requires Teams Premium. AI summaries with decisions and action items require Microsoft 365 Copilot, a separate add-on license.

Can I transcribe a Teams recording without a qualifying Microsoft 365 plan?
Yes. Download your Teams recording as an MP4 from OneDrive or SharePoint and upload it to Qualtranscribe. You do not need Teams Premium or Copilot to get an accurate transcript. Instant Draft's free tier gives you 75 minutes per month with no credit card required.

How accurate is Microsoft Teams automatic transcription?
It performs reasonably on clean English two to three speaker calls. Accuracy drops on focus groups, accented speech, technical vocabulary, and sessions in languages other than English. For research use, treat Teams transcription as a rough starting point that requires review, not a finished document.

What is the best transcription for focus groups recorded on Teams?
For speed and cost on consumer research sessions, Instant Draft with Smart Insights. For research-grade verbatim accuracy on IRB-governed studies or pharmaceutical market research, human transcription. Both are available on the same platform. See the focus group transcription service.

Does Qualtranscribe work on Teams recordings?
Yes. Download your Teams MP4 from OneDrive or SharePoint and upload it directly. The platform works on any audio or video file regardless of which recording tool was used. See Zoom, Teams, and Webex transcription.

What compliance does Qualtranscribe offer for Teams recordings?
HIPAA from Pro plan upward, GDPR with EU data stored in Frankfurt within the EEA, and PIPEDA for Canadian research. Your recordings are never used to train AI models on any plan. Human transcription projects are covered by a signed NDA as standard.

What export formats are available?
Instant Draft exports to DOCX, SRT, Markdown, and NVivo-ready formats. Human transcripts are delivered in NVivo, ATLAS.ti, and MAXQDA-compatible outputs as standard.

Can I get participant de-identification on my Teams recordings?
Yes. Participant de-identification is available on human transcription projects on request, with a full de-identification log for IRB audit trails. Built-in PII redaction is also available on Instant Draft via the Anonymize option.

My IT admin has not enabled transcription in Teams. What are my options?
Upload your Teams recording directly to Qualtranscribe. You do not need your admin to enable anything. Instant Draft works on any MP4 file from any platform, no Teams configuration required.

Does Teams transcription support multilingual sessions?
Teams transcription assumes one spoken language per meeting. If participants switch languages during a session, accuracy drops. Translated transcription is available but requires Teams Premium. Qualtranscribe Instant Draft supports 99+ languages with translation built in on all plans, no add-on license required.
