How Microsoft Teams Transcription Actually Works
Teams offers two distinct transcription features that serve different purposes, and the plan requirements are more nuanced than most guides suggest.
Live transcription during the meeting. Available on Microsoft 365 Business Basic and higher. Not available on Teams Essentials or Teams Free plans. When enabled by your IT admin and turned on during the meeting, transcription appears in a side panel in real time with speaker names and timestamps. All participants see a notification that transcription has started. The transcript is saved alongside the recording in OneDrive or SharePoint after the meeting ends.
Translated transcription. Requires Teams Premium as an add-on license. Lets participants see the transcript translated into their preferred language in real time. Only the original language transcript is stored after the meeting. Past translated transcripts are not saved.
Automatic AI summaries with decisions and action items. Requires Microsoft 365 Copilot as a separate add-on license on top of your existing Microsoft 365 plan. Copilot is not required for standard transcription. If you need the raw transcript only, Business Basic or higher is sufficient.
Note on April 2026 changes. As of April 1, 2026, some features previously exclusive to Teams Premium moved to Teams Enterprise. If you are on an Enterprise plan, check your current admin settings as some capabilities that previously required a Premium add-on may now be included.
