Refund and Cancellation Policy

At Qualtranscribe, we are committed to delivering high-quality transcription and translation services with transparency, fairness, and professionalism. This Refund and Cancellation Policy outlines the conditions under which refunds, revisions, or cancellations may be considered.

1. Accuracy Guarantee

Qualtranscribe maintains a strict quality standard. All transcripts are reviewed to meet a minimum accuracy rate of 98% for clearly recorded audio.


If you believe your transcript falls below this threshold, you must notify us within 7 business days of delivery. Upon receiving your claim, we will conduct a free re-review and revision of the transcript to correct any errors and ensure it meets our benchmark.
Refunds will not be considered until this quality review has been completed.

2. Refunds and Cancellations

Qualtranscribe begins processing files promptly after receipt. Once work has started on your project, refunds will not be issued, as transcribers or linguists may already be actively working on your materials.


You may request to cancel future work (i.e., files not yet in progress), but we cannot reverse time or effort already invested.

Additionally:

  • Deposits are non-refundable once transcription or translation work has begun.

  • Refunds for files deemed unacceptable due to poor audio quality may be denied if the quality was misrepresented or not disclosed.

3. Unpaid Projects

If a project is submitted without upfront payment or deposit, and work has begun, an invoice will be issued for the completed portion of the work. By submitting files to Qualtranscribe, you authorize us to begin work and agree to be billed for services rendered.

4. Partial Refunds

Partial refunds may be considered at the sole discretion of Qualtranscribe based on:

  • The percentage of the work completed at the time of cancellation

  • The quality of the source material

  • The nature of the complaint

  • Any extenuating circumstances

These are assessed on a case-by-case basis, and our decisions regarding refunds are final.

5. Stripe Refund Processing

Any approved refund will be initiated through Stripe's platform. Stripe typically processes refunds within 5–10 business days. However, the time it takes for the refund to appear in your bank account may vary depending on your bank or card issuer. Once the refund is initiated on our end, it is the bank's responsibility to complete the credit to your account.

6. How to Submit a Refund or Review Request

To initiate a review or refund request, please email support@qualtranscribe.com with:

  • Your order number

  • A detailed explanation of your concern

  • Specific timecodes or sections in question (if applicable)

Requests received beyond 7 business days after delivery may not be eligible for review or refund.
